What is an AI sales manager and how does it work

An AI manager is a robot that answers customers in every channel, qualifies leads and keeps the records in CRM. Unlike a chatbot it remembers the context of the dialogue, recognises voice messages and photos, hands hot customers to a rep and works as part of the sales team rather than as a separate widget.

How an AI manager differs from a chatbot

A chatbot on a website answers by a script and lives inside a widget. An AI manager works in every channel at once: Telegram, WhatsApp, Instagram, Avito, the form on the site. It remembers the history of the dialogue — if the customer wrote in Instagram in the evening and continued in WhatsApp in the morning, the robot does not ask for the name and the service again.

When the customer is ready to buy or asks a question the robot has no answer to, it hands the dialogue to a rep. The handover happens inside the same channel — the customer does not notice the switch. The rep gets a notification, opens the record and continues the conversation from where the robot stopped.

Which channels can be connected

The AI manager works through AmoCRM. That means every channel AmoCRM can receive gets connected: Telegram, WhatsApp, Instagram Direct, Avito, the form on the site, email. Telephony is connected separately — the robot does not make calls itself, but it can take calls and put them through to a rep.

Every channel works the same way. The customer writes wherever it suits them, and the rep sees all the dialogues in one CRM window. The robot remembers the context across channels — if the customer started the dialogue in Instagram and continued in WhatsApp, the history is preserved.

What the robot has to be taught

The robot does not know your niche or your services. It has to be told what you sell, how to qualify leads and when to hand the customer to a rep. Training is not programming but filling a knowledge base: descriptions of services, frequent questions, the criteria for a hot customer.

We take the reps' real conversations and teach the robot to answer the same way. If a rep asks about budget and timing before naming a price, the robot does the same. If in your niche it matters to know the area of the site or the make of the equipment, the robot asks those questions.

The robot learns from dialogues. If it answered wrongly or did not understand the question, we see it in CRM and extend the knowledge base. In our test on real correspondence the robot's answer was no worse than a human's in 80% of cases in a blind comparison. The remaining cases are questions that need clarification or fall outside the knowledge base.

When the robot hands the customer to a rep

The robot hands over the customer when they are ready to buy or ask a question it has no answer for. The criteria for readiness depend on the niche: in some it is «named a budget and a deadline», in others «asked us to send the contract».

The handover happens inside the same channel. The customer does not see the switch — they keep writing in the same chat, and on the other side a rep is now answering. The rep gets a notification and sees the whole history of the dialogue in the CRM record.

The robot does not hand over cold customers. If someone simply asked «how much does it cost» and vanished, the robot keeps working with them: answers questions, reminds them about the service, offers to book a time. When the customer comes back ready to discuss details, the robot will pass them to a rep.

Setting the handover criteria is part of the training. We look at the stage where your reps usually step in and teach the robot to do the same. If in practice it turns out that the robot hands over too early or too late, the criteria can be adjusted.

How the robot works with CRM

The robot does not live apart from CRM — it works inside it. Every dialogue with a customer is a deal record in AmoCRM. The robot fills in fields, creates tasks and moves the deal through the pipeline stages. In CRM the rep sees the same thing they would see if they had handled the customer themselves.

The robot remembers the customer's history. If the person got in touch three months ago, the robot sees the earlier deal and does not ask for the name and contacts again. It can remind the customer that they were interested in a particular service and suggest returning to the conversation.

The robot creates tasks for reps. If the customer asked to be called back tomorrow at 15:00, the robot will set a task for that time. If the customer has not replied for two days, the robot will get in touch itself or set a task for the rep — depending on how the process is configured.

What the rep sees in CRM

The rep sees a deal record with the fields filled in: name, contacts, service, budget, timing. Every field the robot managed to establish in the dialogue is already there. If the customer sent a voice message or a photo, the record holds the transcript and the files.

The history of the dialogue is kept in the record. The rep can read the whole exchange and understand what stage the customer is at. They do not ask again what the robot has already clarified. The customer does not repeat themselves — which matters when several hours or days pass between the first message and the rep stepping in.

The rep can join the dialogue at any moment. If they see in CRM that the robot is handling a customer but want to step in, they simply write in the same chat. The robot switches off automatically and comes back when the rep is done.

How the analytics and the quality control work

An AI manager is not only a robot but also data. We see how many leads came in, how many the robot handled itself and how many it passed to reps. We see at which stages customers drop off and which questions the robot could not close. Quality control runs automatically. The robot scores the reps' correspondence against a checklist: did the rep greet the customer, clarify the details, propose a next step. It is not a replacement for a live review, but it helps see where reps are losing customers.

The analytics show plan and actual in real time. We see how many leads came in today, how many of them are hot, how many deals are in progress. If the plan dips, the system alerts the manager. This is not a forecast but the current state of the sales team — you can react before the month is over, not after.

Who an AI manager suits

An AI manager pays off where there are many similar leads and reps spend their time answering «how much does it cost» and «when can you come». That means services, repairs, rentals, equipment, consulting. If you get more than ten leads a day and half the questions repeat, the robot will free your reps' time for hot customers.

Frequently asked questions.

Are an AI agent and a chatbot the same thing?

No. A chatbot is given a script, an agent is given a goal. The bot follows a branch drawn in advance and gets lost at any step aside; the agent understands what is written in words and chooses what to do next itself.

Will the client realise they are not talking to a person?

Most likely yes, and passing the agent off as a human is not worth it: it comes out quickly and spoils the impression. In practice people are annoyed not by a robot but by silence.

What if the agent answers wrongly?

A properly configured agent answers from your materials and hands everything it doesn't know to a person. For the first weeks after launch you have to read real conversations and refine the answers — without that step the launch cannot be considered finished.

Does an AI agent need a CRM?

Formally no, it works without one. But then most of the value is lost: the correspondence stays in the messenger, no history accumulates and there is nothing to measure the result with.

Will an AI agent replace salespeople?

No, and there is usually no such goal. It takes over the first contact and the routine so that a person can deal with what needs a person: negotiation, difficult cases and money.
